Fisher Phillips, a premier international labor and employment law firm is seeking a skilled and experienced Office Services Specialist to join our team. In this essential role, you will contribute to the seamless operation of our services, providing crucial support to our department in delivering exceptional client service and maintaining our commitment to excellence.

Key Responsibilities

This role demands strong organizational skills, attention to detail, and the ability to manage multiple responsibilities effectively. The Office Services Specialist ensures smooth office operations by managing various administrative and organizational tasks, including:

  • Serve as first point of contact for the office and host of all guests.
  • Maintaining office spaces and supplies, ensuring conference rooms, kitchens, and work areas are clean, organized, and fully stocked (restock kitchen/pantry areas/copy room throughout day).
  • Must be capable of ordering and maintaining supplies, coordinating office luncheons, and other office events, as needed.
  • Setting up conference rooms for meetings and assisting with office setups for new employees.
  • Coordinating daily and weekly conference room schedule and visitor log.
  • Coordinating records pickups and deliveries.
  • Monitor AV/basic room readiness and report issues to Manager and/or IT Department.
  • Processing and distributing incoming and outgoing mail, faxes, and packages, including FedEx and USPS services. Responsible for daily Fedex (Courier) and USPS mail drop offs.
  • Assist with document management, including copying, scanning, printing, binding, and maintaining physical and electronic record as assigned.

Requirements

  • Minimum of 3 years of general office experience required; prior experience in a law firm or corporate legal department is a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), document management systems, and Adobe Acrobat Pro.
  • Familiarity with standard office equipment, including copiers, scanners, fax machines, and printers.
  • Ability to thrive in a high-volume reprographics environment, producing accurate and timely work based on written instructions.
  • Must be physically capable of lifting boxes and packages up to 50 pounds and able to walk, bend, kneel, stand, or sit for extended periods.

The hourly rate range for this position is $22.81 - $27.64. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
