IT Asset & Licensing Lead

(Atlanta, Full-time, Hybrid)

Fisher Phillips, a premier international labor and employment law firm, is seeking an IT Asset & Licensing Lead to join a dynamic, forward-thinking IT team that values innovation, collaboration, and client-focused solutions.

Position Summary

The IT Asset & Licensing Lead oversees the firm's technology asset management function, including hardware asset tracking, software license management, leased asset lifecycle coordination, asset data governance, and support for IT procurement activities. This role will assume the administrative and process management components of asset tracking currently performed by the Hardware Assets team, allowing that team to remain focused on endpoint support, provisioning, refresh activity, and operational execution.

Reporting to the IT Vendor Manager, this exempt individual contributor serves as the functional owner for IT asset records, standards, reporting, and compliance, using independent judgment to improve asset and licensing processes across the department.

Key Responsibilities

IT Asset Management & Governance

  • Own the firm's IT asset management function, including standards, data quality, reporting, and lifecycle tracking for hardware and software assets.
  • Maintain accurate records for technology assets, including laptops, desktops, peripherals, mobile devices, printers, network equipment, and other firm-owned technology.
  • Develop and enforce asset tracking procedures for intake, assignment, transfer, refresh, retirement, lease return, disposal, and related lifecycle activities.
  • Track lifecycle status for purchased and leased hardware, including deployment, reassignment, refresh eligibility, lease-end timing, return requirements, and vendor documentation.
  • Partner with IT Operations, Hardware Assets, Service Desk, Information Security, Finance, and leasing vendors to support accurate records, timely lease returns, buyout decisions, replacement planning, and compliance requirements.

Software Licensing & Compliance

  • Track software licensing records, subscription terms, renewal dates, user assignments, entitlements, and usage information across the IT department.
  • Partner with application owners, IT leadership, and the IT Vendor Manager to support license optimization, renewal planning, and compliance reviews.
  • Prepare renewal packets for vendors and products, including current license counts, assigned users, usage information, prior purchase history, known contact, renewal deadline, and recommendations
  • Identify opportunities to reduce unused licenses, improve allocation, and support cost-effective software utilization.
  • Maintain documentation related to software ownership, license models, contract terms, renewal obligations, and vendor inquiries.

Procurement & Vendor Management Support

  • Assist with IT procurement by coordinating asset-related purchase requests, quotes, approvals, receiving documentation, and record updates.
  • Work with the IT Vendor Manager on vendor coordination, renewal tracking, procurement workflows, and contract-related asset information.
  • Maintain vendor KPI’s like fulfillment accuracy, delivery issues, support / renewal responsiveness, and recurring concerns
  • Maintain visibility into hardware lease schedules, return windows, vendor requirements, and renewal dates to support budget planning and avoid unnecessary fees.
  • Link assets, software licenses, subscriptions, warranties, leases and agreements to the vendor, contract, quote, order form, renewal and PO’s
  • Ensure newly purchased or leased hardware and software assets are accurately recorded, categorized, assigned, and tracked throughout their lifecycle.
  • Provide data and reporting to support budgeting, forecasting, vendor evaluations, contract negotiations, renewal decisions, lease decisions, and technology standardization.

Reporting, Process Improvement & Cross-Functional Coordination

  • Develop and maintain reports, dashboards, and metrics covering inventory levels, lifecycle status, lease status, software usage, upcoming renewals, and cost trends.
  • Analyze asset data to identify gaps, trends, risks, and opportunities to improve workflows, documentation, tools, and controls.
  • Serve as a primary point of contact for asset-related inquiries from IT teams, Finance, Information Security, and other internal stakeholders.
  • Support office openings, relocations, attorney onboarding/offboarding, hardware refresh cycles, lease return activities, and other asset-dependent projects.
  • Maintain clear documentation of asset management processes, standards, roles, and responsibilities, and perform other duties as assigned.

Requirements

  • Bachelor’s degree in information technology, Business Administration, or a related field; or equivalent work experience is preferred.
  • 5+ years of experience in IT asset management, technology procurement, software licensing, vendor management, IT operations, or a related function.
  • Experience managing asset inventories, software licensing records, renewal information, hardware lease records, or technology lifecycle processes in a corporate or professional services environment.
  • Strong understanding of IT asset lifecycle management, including procurement, receiving, assignment, transfer, refresh, retirement, lease return, disposal, and documentation requirements.
  • Experience supporting IT procurement activities, including purchase requests, quote coordination, approval tracking, vendor communication, and invoice or receiving reconciliation.
  • Ability to exercise independent judgment, evaluate data, identify process gaps, and recommend improvements.
  • Strong analytical, organizational, documentation, written, and verbal communication skills with exceptional attention to detail.
  • Ability to manage multiple priorities, deadlines, renewals, lease return windows, and reporting cycles in a fast-paced professional services environment.
  • Proven ability to handle confidential business, financial, vendor, and technology information with discretion and sound judgment.
  • Proficiency with Microsoft Office Suite, particularly Excel; experience with IT service management, asset management, procurement, or contract management tools preferred.

Desired Experience

  • Prior experience in a law firm, accounting firm, consulting firm, or other professional services organization is highly preferred.
  • Experience with IT asset management platforms, CMDB tools, procurement systems, ITSM platforms, or software asset management tools.
  • Familiarity with Microsoft 365, Adobe, endpoint management platforms, SaaS subscriptions, and enterprise software licensing models.
  • Experience supporting leased hardware tracking, lease-end planning, return coordination, buyout analysis, vendor return documentation, budgeting, renewal forecasting, or vendor spend analysis.
  • Familiarity with ITIL-based service management practices, asset lifecycle controls, vendor management frameworks, or related certifications is a plus.
