Fisher Phillips is an award-winning international employment and labor law firm seeking a full time Administrative Assistant to support the needs of our Dallas office. In this role, the Administrative Assistant works in a team-oriented environment and is responsible for providing first-class legal/administrative support to the Firm, including attorneys, paralegals, secretaries and other administrative managers and individuals. This individual must make sound judgments handling work and communicating with others including their co-workers. This position requires the individual to implement firm-wide calendaring procedures, determine docket/calendar dates from court documents/correspondence, enter data into docket calendar system and collaborate with other staff in order to provide consistent and quality workflow support to the firm. Flexibility in daily work schedules may be required due to departmental workload requirements. This is an in-office role.

POSITION RESPONSIBILITIES

  • Determine docket dates from court documents and correspondence and ensure appropriate entry of data in the docket; ensure court documents are filed internally, electronically and conventionally, as needed.
  • Responsible for opening new matters, including conflict requirements, under the firm's policies.
  • Collect and scan mail and incoming correspondence; save to firm’s internal system. Prepare labels and correspondence for attorneys and secretaries.
  • Miscellaneous office support including preparing attorney expense reports, submitting invoices for reimbursement, and assisting with correspondence as needed. Provide backup support to secretaries with scanning and copy projects as assigned by office manager.
  • Prepare mailing and Federal Express shipping labels, track packages to ensure delivery and resolve delivery exception issues with Federal Express.
  • Monitor and maintain kitchen supplies, office supplies, printer paper, etc.
  • Maintain positive contact with attorneys, staff and clients and observe confidentiality of the docket and firm's clients.
  • Other duties as assigned by office manager.

Requirements

  • College degree or minimum of 2 years secretarial or administrative experience in a related environment is required.
  • Ability to accomplish tasks quickly and thoroughly with a high degree of accuracy and to meet deadlines in a fast-paced environment.
  • Ability to work as a productive team member, contributing to the concept of continuous improvement of the office and its service offerings.
  • Experience with working in a team-oriented, collaborative environment.
  • Demonstrated problem-solving abilities.
  • Knowledge of the firm business process and business operations.
  • Proficiency with Microsoft Office software.
  • Superior knowledge of the firm’s goals and objectives.
