The Opportunity

Fisher Phillips is an international labor and employment law firm, hiring an experienced Legal Secretary to support the needs of our Irvine office. With over 600 attorneys in over 40 offices, our range of experience and expertise enables us to bring efficient and practical solutions to today's labor and employment law problems. As a key member of our legal team, the Office Services Specialist plays a vital role in ensuring the smooth and efficient operation of our legal services. In this role, the Office Services Specialist will support the operations of the Office Services Department to ensure it aligns with the business objectives of the firm. This position works collaboratively with others in a team-oriented environment.

Position Responsibilities

  • Accurately copy, scan, print, bind, and manage documents, including OCR, redacting, and labeling as needed.
  • Sort, process, and deliver incoming mail, packages, and faxes.
  • Manage intra-office and outgoing mail, including FedEx and UPS.
  • Set up and maintain conference rooms for meetings.
  • Maintain and distribute office and kitchen supplies.
  • Assist in setting up workspaces for new employees.
  • Support office events, hospitality, housekeeping, and reception tasks.
  • Manage concessions inventory, ordering, and stocking.
  • Collaborate on event planning, ensuring catering and concessions needs are met.
  • Help maintain a clean and organized office environment.
  • Provide front desk support and handle confidential information responsibly.
  • Perform other tasks as assigned

Requirements

  • Minimum 1 - 3 years of office experience required. (Experience working in a law firm is a plus, but not required.)
  • Possess strong PC skills, ability to use phone system, voicemail system, copier, scanner, facsimile and printer, including software knowledge of Microsoft Office, document management systems and scanning functions.
  • Must be physically able to lift boxes and packages up to 50 pounds
